The Office of University Relations-Conference Services is your “one-stop shop” for conference management. Our well-seasoned staff is ready to assist faculty, staff, and the community at-large with every aspect associated with hosting your event on campus. If you wish to host your next conference, workshop or seminar on- or off-campus, let Conference Services be your partner to bring your ideas to fruition. Our conference and program development staff will serve as your personal planner and will provide the experience and knowledge to guide you through the planning, implementation, and evaluation of your program. Your conference planner will work to ensure that even the smallest details are attended to efficiently and responsively. All events are assessed a standard conference fee and is incorporated in the package cost for needed campus services and facilities. The following list of services is just a sampling of what our office is prepared to do for you: -
Develop and follow task timeline as agreed upon by UR and the Organizer. -
Help formulate conference budget. -
Reserve necessary meeting space and order room set-up as required. -
Arrange food and beverage service and functions. -
Arrange for AV equipment as needed. -
Assist with providing PR/Media exposure. -
Set up agency accounts or other needed accounts with UTEP financial services. -
Prepare necessary university forms for honoraria, expenses, travel, etc. -
Conduct pre-registration, including FAX, mail, telephone, and e-mail registrations. -
Respond to FAX, telephone, mail, and e-mail queries about the conference. -
Bill for registrations submitted on purchase orders. -
Invoice up to two separate occasions to collect Account Receivables. -
Maintain financial records prior to, during, and after conference. -
Provide detailed statements of income and participants prior to and after conference. -
Provide participant list for conference. -
Assemble meeting material including participant packets and nametags. -
Conduct on-site check-in and late registration for participants. -
At conclusion of conference, pay outstanding bills for conference expenses. -
Conduct a post conference evaluation with planning group. |
